OUR POLICIES

Quintessence Psychiatry provides secure, HIPAA-compliant telehealth appointments and psychiatric medication management for patients located in Florida and New York. Our goal is to offer accessible, compassionate, and high-quality psychiatric care while maintaining clear policies to ensure smooth and safe treatment for all patients.

Monday — 12:00 PM – 3:00 PM
Tuesday — 12:00 PM – 7:00 PM
Wednesday — 12:00 PM – 7:00 PM
Thursday — 12:00 PM – 7:00 PM
Friday — 12:00 PM – 3:00 PM
Saturday — Closed
Sunday — Closed

All sessions are conducted virtually unless otherwise arranged.

Appointment Scheduling & Cancellations

We kindly ask that patients provide at least 24 hours notice for cancellations or rescheduling.
This allows us to offer the appointment time to another patient in need.

Cancellation Fees:

  • Late Cancellation Fee (within 24 hours): $75
  • Missed Appointment / No-Show Fee: $100

Repeated missed appointments may result in discharge from the practice.

Emergency Care Policy

Quintessence Psychiatry does not provide emergency or crisis services.

If you are experiencing:

  • Thoughts of harming yourself or others
  • Severe or rapidly worsening symptoms
  • A medical or psychiatric emergency

CALL 911 immediately or go to your nearest emergency room.

You may also contact:

  • 988 Suicide & Crisis Lifeline (available 24/7)
  • Your local Mobile Crisis Unit (if available in your area)

Telehealth Policy

All appointments are conducted through a secure, HIPAA-compliant telemedicine platform.
Patients must be:

  • Physically located in Florida or New York during every appointment
  • In a private, quiet setting to ensure confidentiality
  • Able to verify their identity at the start of each session

A stable internet connection and working audio/video are required.

Communication Policy

To maintain safety and clarity in care:

  • Texting should be used only for scheduling matters.
  • Clinical questions, medication concerns, or worsening symptoms require an appointment.
  • Messages may take 1–2 business days for a response.
  • We do not provide after-hours clinical messaging or crisis response.

Phone calls or secure messages are not a substitute for medical appointments.

Medication Policies

1. Prescription Refills

  • Refills are handled during scheduled appointments only.
  • Please schedule follow-up visits before running out of medication.
  • Last-minute refill requests cannot always be accommodated.

2. Controlled Medications

Dr. Kocher prescribes controlled medications sparingly and only when medically appropriate.
This includes stimulants and benzodiazepines.

Patients receiving controlled medications must:

  • Attend appointments consistently
  • Follow treatment recommendations
  • Use medications exactly as prescribed
  • Be open to periodic urine drug screens if required
  • Agree to additional monitoring if indicated

If misuse, diversion, or safety concerns arise, medications may be tapered or discontinued.

3. Lost or Stolen Medication

Lost or stolen prescriptions cannot be replaced.


Insurance & Payment Policies

  • Tricare

Patients must confirm coverage before the appointment.

Self-Pay Fees

We maintain a fee schedule for services:

  • Initial Evaluation: $450 (50 min) — often covered by insurance
  • Follow-Up Visit: $225 (25 min) — often covered by insurance
  • Therapy Session: $300 (50 min)
  • Forms / Letters / Prior Authorizations: $125 per page
  • FMLA or Disability Forms: $125
  • Phone call to insurance or pharmacy: $25
  • Legal Fees (subpoena, testimony, documentation): $450/hour

Payment Processing

  • Payment is collected 6 hours before each appointment.
  • Accepted methods: Credit card or eCheck
  • A saved payment method is required to remain on file.

Privacy & Confidentiality

We strictly follow HIPAA regulations to protect your personal and medical information.
Your records will never be shared without your written consent, except in cases required by law (such as imminent safety concerns or court orders).

Termination of Care

Quintessence Psychiatry reserves the right to discontinue care in cases of:

  • Repeated missed appointments
  • Safety concerns
  • Non-adherence to treatment
  • Disruptive or inappropriate behavior
  • Failure to follow controlled-substance policies
  • Non-payment for services

If care is terminated, we will provide resources for alternative providers.
